The Gmail shared inbox: free route and real upgrades

Google gives you a free shared inbox. Here's how to set it up, exactly where it stops working, and what teams move to when it does.

The short answer

A Gmail shared inbox is usually Google Groups' Collaborative Inbox: a free Google Workspace feature where a team answers support@ together, with manual assignment and resolution states. Collaborative Inbox works for small, low-urgency queues; teams outgrow it at the first duplicate reply, because it has no collision detection, notes, routing or reporting.

01 · The free route

Setting up Collaborative Inbox properly

One correction to expectations before the steps: this is a Google Groups feature, not a Gmail one. Your team will work the queue at groups.google.com — a second interface — not inside their mail.

Create the group

In Google Groups (or the admin console), create a group for support@ — or reuse an existing one — and turn on Collaborative Inbox in the group's settings. Conversation history must be enabled.

Set the two permissions that matter

"Who can moderate metadata" controls who may take, assign and complete conversations; "who can moderate content" controls who can mark no-action-needed. Give both to everyone answering mail.

Add the team and start taking

Mail to the address lands in the shared list. Members take a conversation or assign it (the assignee gets an email), label it, and mark it Complete when done. Filter to unresolved to see the live queue.

That's the whole product — and it costs nothing on top of Workspace. Mind the platform ceilings if you're busy: 300 inbound emails per 5 minutes per group, 25 MB messages, and a 25-recipient cap when forwarding out of the inbox.

02 · The ceiling

What Collaborative Inbox can't do

Google's own docs list assignment, states and labels — and nothing else. Each missing piece below maps to a specific bad day:

  • No collision detection. Nothing shows a teammate is already replying — the day two of you answer the same customer differently is usually the day the search for a real tool begins.
  • No internal notes. Discussing a tricky reply means forwarding fragments to a side thread — the context never lives with the conversation.
  • No routing, ever. Assignment is 100% manual take-and-assign. No round-robin, no rules, no "urgent goes to Maya."
  • No SLAs, no analytics. "How many are waiting? How fast are we?" has no answer short of exporting mail headers to a spreadsheet.
  • No real mobile. Collaborative Inbox threads don't appear in the Gmail app — on a phone, it's the Groups website in a browser tab.

04 · The decision

Keep the free route or graduate?

Keep Collaborative Inbox if the queue is small, nothing is urgent, and a duplicate reply is an "oops" rather than a lost customer. It costs nothing and an afternoon.

Graduate when the symptoms start: the first double answer, the first "did anyone reply to this?", the first time a lead asks for response-time numbers nobody can produce. Can I make a shared inbox in Gmail for free?
Yes — enable Collaborative Inbox on a Google Group for your support@ address. You get manual assignment, resolution states and labels. You don't get collision detection, notes, routing or reports, which is where teams outgrow it.
Why doesn't Collaborative Inbox show up in the Gmail app?
Because it's a Google Groups feature, not a Gmail one. The queue lives at groups.google.com on desktop and mobile alike — the Gmail apps never see it.
